TELEPHONE PROCEDURES

 

 

When the telephone rings at the Receptionist desk, (when the Receptionist is absent),  you can answer it by either:

1.                 sitting at the receptionist desk or

2.                 Dialing 4-16000 from another desk phone

 

When someone calls and asks for someone’s voicemail, it is best to:

1.                 Push the “Voicemail” button and dial in the extension number placing the party directly into their voicemail.

 

When someone calls and asks specifically for someone, it is best to:

1.                 Push the “Transfer” button, dial in the extension, and “hang up” the telephone receiver.

 

 

RETRIEVING VOICEMAILS

 

When you are at the office, and your telephone is showing a “blinking red light” at the top of the phone, pick up the handset and press the “V/M” (Voicemail Button), and follow the directions to access your voicemail.

 

Press “9” to delete any messages that you know you may not want.

 

PAGING

 

To page anyone in the building, pick up the handset, press the “Page” button and speak loudly and clearly with your announcement, so it will be heard throughout the office building.

 

 

 

 

 

 

TO REACH AN INDIVIDUAL WITHIN THE OFFICE

 

To reach an individual within the office at their desk, dial 1+last four numbers of their direct extension (i.e. 16000).

 

TO DIAL OUTSIDE THE OFFICE

 

To dial outside of the office, dial 8 or press “outgoing” button, then regular phone number (i.e. 8-301-936-1212.)

 

TO FORWARD YOUR OFFICE TELEPHONE TO AN OUTSIDE NUMBER

 

To forward your office telephone to an outside number, press “forward” button, press 8, then dial in whatever phone number you want to forward to (i.e. your home, cell phone, etc.).  Your phone screen will display where your telephone has been forwarded, until you unforward youroffice phone”.
